West Monroe is seeking an Engagement Operations Specialist to support project administration and operational excellence across our consulting engagements. In this role, you will ensure engagements are set up accurately, monitored effectively, and closed out properly. You will work closely with engagement managers, project teams, and cross-functional departments to ensure alignment with client requirements and internal processes. This role requires exceptional attention to detail, strong organizational skills, and the ability to work collaboratively across multiple teams to support the delivery of high-quality client services.
Key Responsibilities
- Set up new engagements in internal system, ensuring resources, timelines, and invoicing schedules aligns with client contracts
- Collaborate with engagement managers and project teams to resolve discrepancies related to scope, budget, timeline, or resource allocation.
- Monitor engagement performance against the contract, including hours worked, expenses incurred, deliverables completed, and budget consumption.
- Identify and escalate potential issues such as budget overages or missing data to engagement managers and internal stakeholders.
- Close engagement promptly by confirming all hours, expenses, deliverables, and adjustments are properly accounted for.
- Validate that final invoices align with contract terms and pricing.
- Ensure adherence to company policies, procedures, and compliance requirements throughout the engagement lifecycle
- Maintain accurate documentation and recordkeeping of engagement schedules, adjustments, and approvals.
- Contribute to process improvements and standardization efforts within engagement operations to enhance efficiency and effectiveness.
- Support ad-hoc engagement analysis and reporting requests as needed.
Required Skills & Experience
- Experience: Minimum of 1 year in operations, project coordination, or financial operations (experience in a professional services or consulting firm preferred).
- Technical Skills: Proficiency with Microsoft Excel and experience working with ERP, CRM, or project management systems (e.g., Kimble, Workday, NetSuite, SAP).
- Attention to Detail: Strong ability to ensure accuracy in engagement records, milestone schedules, and deliverables, with minimal errors.
- Communication Skills: Excellent verbal and written communication skills, with the ability to collaborate across teams.
- Organizational Skills: Ability to manage multiple engagement schedules, meet deadlines, and prioritize tasks effectively.
- Problem-Solving: Capable of analyzing and resolving operational discrepancies independently.
Preferred Qualifications
- Bachelor’s degree in Business Administration, Operations Management, Finance, or a related field.
- Familiarity with engagement processes for time-and-materials, fixed-fee, and milestone-based projects preferred.
- Experience working in a global or shared services operational environment preferred.
- Knowledge of professional services engagement practices and operational workflows
