About the job:
The Operations Control team is a part of the Operations function that falls under the Group Chief Operating Officer. The team works closely with Risk, Internal Audit, Compliance, Procurement, Technology and Outsourcing Delivery teams in supporting the business (at a group level) with outsourcing and third party management, business continuity management, operational resilience and controls testing.
Key Responsibilities
Outsourcing & Third Party Management
- Trigger and manage internal due diligence process for all outsourcing requests, from initiation to approval from all stakeholders
- Responsible for ensuring that Jaggaer is maintained including:
Managing Risk Assessments, Performance Assessments, and Development Plans end-to-end including mapping the correct risk/performance scorecards, guiding service owner through the process, and ensuring reviews and approvals are obtained in a timely manner
Using data exports from Jaggaer, develop MI in PowerBI (risk/performance reports, supplier analysis)
Manage the key outsourcer performance scorecards
Manage the KRI reporting process
Support the TPM Operations Manager in managing the legacy supplier backlog, cloud service provider governance review andthe regulation/compliance review of third parties managed outside the framework
Business Continuity Management & Operational Resilience
- Trigger and manage the Business Impact Analysis and Business Continuity Plan process within Meridian
- Manage the review of the Important Business Services including updating resource mapping, impact tolerances and obtaining sign-off from Service Owners
- Organize scenario testing calendar with Risk for Operational Resilience exercises
Operational Control Testing
- Define annual testing plan for approval by Head of Operation Control
- Trigger and support quarterly control owner self-assessment process, ensuring that where issues are identified, action plans are in place
- Perform independent control operational effectiveness testing, documenting results and providing recommendations to remediate deficiencies
- Monitor remediation action and validate closure with control owners
- Review and approve proposed changes to control environment records (new, retired and amended controls)
- Where required, support users with training on system usage
- Provide regular and ad hoc Management Information to Operations Control team and other business stakeholders
- Support control owners in identifying opportunities for continuous improvement in their control environments
- Ensure regular communication with other 2nd/3rd line functions, such as Risk and Internal Audit, to align assurance activities and leverage testing results
- Maintain log of potential system (identified and from user base) enhancement for ongoing system development
Reporting & Other Tasks
- Prepare monthly reports of Outsourcing & Third Parties, Controls Testing, BCM & Operational Resilience as per agreed format
- Support the Head of Operations Control in ad hoc tasks that may arise occasionally.
About you:
Experience Required:
- 2 years of experience in compliance, risk or control function in financial services
- Analytical thinking - ability to analyse data, identify patterns and problem areas and come up with improvement opportunities
- Strong collaboration and influencing skills to deliver results
- Strong verbal and written communication skills
